Terms of Service

These are interim terms covering Tracklife's beta period. They reflect how the service works as of the effective date. Billing terms apply only when paid plans are offered (see “Billing”). A final version will be reviewed by counsel before Tracklife charges any customer. Questions: [email protected].

Tracklife (“Tracklife,” “we,” “us,” or “our”) provides a team-management application for track & field clubs and teams (“Clubs”), available on the web and as an iOS app. These Terms of Service (“Terms”) govern your use of Tracklife. Our Privacy Policy explains how we handle data. By using Tracklife, you agree to these Terms.

1. Acceptance & eligibility

Using Tracklife means you agree to these Terms. You must be authorized by your Club to use the service. A “minor” is anyone under 18. Children under 13 do not receive their own login — a parent or legal guardian manages their information (as required by COPPA; see the Privacy Policy). Minors aged 13–17 may have and use their own accounts (for example, as athletes) and sign in directly. Accounts are provisioned by invitation from a Club, or a parent/guardian — not by open self-registration. A Club must have obtained verifiable parental consent before inviting a minor or entering their information, and the Club and parents/guardians remain responsible for overseeing a minor's use of the service.

2. The service

Tracklife is a team-management app for track & field clubs — rosters, schedules, testing and results, photos, and messaging — available on the web and as an iOS app, currently offered as a beta. We may add, change, suspend, or discontinue features at any time during the beta.

3. Accounts & responsibilities

Keep your sign-in credentials secure and do not share them. You are responsible for activity that happens under your account. Your role (owner, coach, parent, or athlete) determines what you can see and do. Tell us promptly if you believe your account has been accessed without your permission.

4. Club responsibilities & parental consent

A Club decides what information to enter into Tracklife and is responsible for doing so lawfully. A Club must obtain verifiable parental consent before inviting any minor, or entering any minor's information or photos — this applies whether the minor uses their own account or is managed by staff. For the data a Club enters, the Club is the controller and Tracklife acts as a service provider (processor) under the Club's instructions, as described in the Privacy Policy.

5. Your content & license

You keep ownership of the content you upload — rosters, photos, messages, and similar material (“Your Content”). You grant Tracklife a limited, non-exclusive license to host, store, and display Your Content solely to operate the service for you and your Club. You represent that you have the rights and all necessary consents to upload Your Content — especially photographs of minors.

Tracklife includes AI-powered features, such as the “Press Box” assistant and generated athlete bios. AI output may be inaccurate or incomplete and must not be relied on for medical, safety, eligibility, or competition-rules decisions. Always verify against official sources — for example, USATF rules, your coaches, or medical professionals.

8. Billing (when applicable)

Tracklife is free to use during the beta. If and when paid plans are offered, billing will be handled by Stripe, and the specific paid terms (price, renewal, and cancellation) will be presented to you before any charge. No charges occur during the beta.

9. Termination

You may stop using Tracklife at any time. We may suspend or terminate access if you violate these Terms or to protect the service and its users. If a Club cancels, we provide a 30-day window to export data, after which the data is deleted, as described in the Privacy Policy.

10. Disclaimers & limitation of liability

Tracklife is provided “as is” and “as available”, without warranties of any kind, whether express or implied, to the fullest extent permitted by law. To the extent permitted by law, Tracklife will not be liable for any indirect, incidental, special, or consequential damages, or for lost data or lost profits, arising out of or relating to your use of the service.

11. Changes to these terms

We may update these Terms as the beta evolves and will revise the “Effective date” above. We will communicate material changes to Club account owners.

12. Governing law

These Terms are governed by the laws of the State of California, USA, without regard to its conflict-of-laws rules. Any disputes will be resolved in the state or federal courts located in California.
