Privacy Policy
Last updated: June 10, 2026
Tracklife (“Tracklife,” “we,” “us,” or “our”) provides a service that track &
field clubs use to record their athletes’ results and to communicate with athletes and families.
This policy explains what information we collect, how we use it, and the choices and rights you have.
It applies to tracklife.run and the per-club subdomains where we host each club’s site.
Your club (the organization that invited you) decides what athlete information to enter and uses Tracklife as its tool. We act as the operator of the service for the club.
Information we collect
Athlete information (entered by your club’s coaches and/or by a parent)
- Identity and roster details: name, birth year, gender, and team/affiliation.
- Athletic performance: meet results and performance history over time.
- Coaching information your club records: notes, benchmark/test marks, attendance, and practice notes.
Account information (for the adults who sign in — owners, coaches, and parents)
- Email address and display name.
- How you sign in: Google or Apple sign-in, or an email-and-password login (passwords are stored only as a secure one-way hash, never in plain text).
Information generated while using the service
- Activity within team communication features (for example, whether a note was seen, and responses to a coach’s poll).
- Questions you ask our in-app assistant (“Press Box”).
Information collected automatically
- Standard server logs and limited product analytics used to keep the service secure, reliable, and working well (for example, basic device/browser information and error data).
We do not collect biometric identifiers, government-issued identifiers, precise geolocation, or any information used for behavioral advertising. We do not knowingly let a child under 13 create their own account.
How we use information
- To provide your club’s coaching, progress-tracking, and team-communication tools.
- To generate an athlete’s written “bio” from their own results, using an AI service provider on our behalf.
- To power the “Press Box” assistant, which answers questions about your own athlete’s results and about general track & field / USATF rules, using an AI service provider on our behalf.
- To secure, maintain, troubleshoot, and improve the service.
We do not sell personal information, and we do not use it to serve targeted advertising.
Children’s privacy & parental consent (COPPA)
Because clubs track athletes under 13, COPPA governs how we handle those children’s personal information. Our approach:
- Verifiable parental consent first. A club invites a parent or legal guardian by email. When the invited account is linked to an athlete under 13, the parent is shown a clear notice of what we collect and why, and must affirmatively consent before the account is created and before the child’s information is used in the account. We keep a record of that consent.
- No child logins. A child under 13 does not get their own login; a parent manages the child’s information.
- Data minimization. We do not condition a child’s participation on collecting more information than is reasonably necessary for the club’s coaching and communication purposes.
- No advertising or sale. We never sell a child’s information or use it for targeted advertising.
Parental rights
As a parent or legal guardian, you may at any time:
- review the personal information we have collected about your child;
- refuse to allow further collection or use of your child’s information; and
- request that we delete your child’s information.
To do any of these, contact your club or email us at [email protected]. We will take reasonable steps to verify that you are the child’s parent or guardian before acting, and we will respond within a reasonable time. If you withdraw consent, we will stop collecting and using your child’s information and will delete it as described below. You can consent to our collection and use of your child’s information without agreeing to any disclosure of that information to third parties for their own purposes — and, as explained next, we don’t make such disclosures.
How information is shared
We do not sell personal information and do not share it for advertising. We share information only in these limited ways:
- Within your club. Information is visible to the club’s authorized staff, and to the athlete/parent accounts linked to a given athlete, according to each person’s role.
- Service providers acting on our behalf. We use trusted vendors that process data under contract solely to operate the service, by category: cloud hosting; transactional email; an AI provider (for athlete bios and the Press Box assistant); product analytics and monitoring; maps; DNS, CDN, and network delivery; weather and location lookup; and the sign-in providers you choose (Google, Apple). These providers may not use the information for their own purposes.
- Legal and safety. If required by law, or to protect the rights, safety, or security of users or the public.
- Business transfer. In connection with a merger, acquisition, or sale of assets, information may transfer subject to this policy.
Data retention & deletion
We keep personal information only as long as reasonably necessary for the purposes described in this policy. We delete a child’s personal information when it is no longer needed for those purposes, when an athlete leaves the club, or upon a parent’s or club’s request.
Data security
We use reasonable administrative and technical safeguards to protect personal information, including isolating each club’s data, encrypting data in transit, restricting access by role, and storing passwords only as secure hashes. No method of transmission or storage is completely secure, but we work to protect your information and to maintain a written security program.
Changes to this policy
We may update this policy from time to time. We will post the updated policy here with a new “Last updated” date. If we make a material change that affects how we handle children’s information, we will provide renewed notice to, and obtain renewed consent from, parents where the law requires it.
